Privacy notice for MS Teams recordings and transcripts

Find out how we manage the personal information we collect about you when you attend an MS Teams meeting that we record and transcribe.

This notice explains how we (the Australian Government Department of Health and Aged Care) manage personal information to meet our obligations under the Privacy Act 1988 and the Australian Privacy Principles (APPs). 

Who is collecting your personal information?

Your personal information is being collected by the Australian Government Department of Health and Aged Care (the department).

Why is the department collecting your personal information?

Your personal information is being collected for the primary purpose of managing the department’s functions and activities, either:

  • as communicated to you by host of the Microsoft Teams (MS Teams) meeting or otherwise; or
  • as set out in the meeting invitation.

The department’s functions and activities may involve programs, policies and corporate activities. 

Collection of this personal information will be via the department recording video and audio of the meeting and obtaining automatically generated transcripts of the meeting . 

Recordings and transcripts will be used to:

  • allow staff to refer to meetings to confirm points that were discussed, or outcomes agreed upon.
  • enable staff who missed a meeting to catch-up on what was discussed.
  • keep a record of the meeting for evidentiary purposes.
  • reduce the need for staff to make detailed meeting minutes during the meeting. 

Personal information may also be used for other purposes. In the event the personal information will be used for another purpose, the host should discuss this at the beginning of the meeting. Alternatively, the use of personal information for another purpose may be set out in the invite to the meeting.

What would happen if the department did not collect your personal information?

If you do not consent to the department recording the meeting, you will not be able to participate in the meeting.

Who will the department disclose your personal information to?

The host may discuss any disclosures to third party recipients at the start of the meeting or this may be otherwise be communicated to you at a different time. 

Access to and correction of your personal information

The department’s privacy policy contains information about how you may access and seek correction of personal information about you that is held by the department.

Privacy complaints

The department’s privacy policy contains information about how you may complain about a breach of the Australian Privacy Principles or the Australian Government Agencies Privacy Code and how the department will deal with complaints.

Overseas disclosure of your personal information

We are unlikely to disclose your personal information to any overseas recipients.

Consent

By participating in a recorded or transcribed MS Teams meeting, you consent to the department, where applicable, collecting, using and disclosing:

  • your name and likeness, email address, phone number, photographs, written chat messages, answers to polls or surveys, digital images and video and audio recordings of you and your voice and quotes from you. 
  • information about you, including revealing your participation in the meeting and your opinion on the subjects discussed during the meeting.
