Government Provider Management System (GPMS) – Managing your organisation

The Manage Your Organisation tile in GPMS enables approved providers to view and maintain information about their organisation. This supports more efficient provider interaction with the Australian Government.

Managing your organisation under the current Act

Functions

In the Manage Your Organisation tile in GPMS, under the current Act, you can:

  • view and maintain the information we hold about you for:
    • provider details
    • services
    • key personnel and contacts
    • third-party arrangements
  • complete and submit Approved Provider Notification or Governing Body Determination forms
  • track your forms’ progress through to completion.

This streamlines the processes for changes requiring reporting to the Aged Care Quality and Safety Commission.

User roles

There are 3 roles in the Manage Your Organisation tile. Your Organisation Administrator will need to assign these as follows:

  • Provider Staff (Service) – this enables the user to update contacts and to view service-level information for assigned services.
  • Provider Staff (Org) – this enables the user to update contacts, view organisational information and create digital forms.
  • Provider Governing Person – this must be assigned to an active key personnel, to allow them to review and submit digital forms.

Managing your organisation under the new Act

Functions

On 3 November 2025, the Manage Your Organisation functionality on GPMS will change.

Under the new Act, in the Manage Your Organisation tile in the Registered Provider Portal in GPMS, registered providers will be able to view and update:

  • provider details 
  • residential care home details  
  • branches details 
  • responsible persons and contact details 
  • associated provider arrangements.

Registered providers will need to apply for variations and notify a change in circumstance through the Aged Care Quality and Safety Commission. Draft forms are currently available on the Commission’s website to view. Final forms will be  available on the Commission’s website to submit from 1 November 2025 when the new Act starts.

User roles

There are multiple roles in the Manage Your Organisation tile under the new Act. Users can be assigned multiple roles. Your Organisation Administrator will need to assign these.

  • Provider staff (Registered Provider) – Users with this role can:
    • view all details about their organisation and reported contacts
    • manage all contacts for their organisation.
  • Provider staff (Home/Branch) – Users with this role can:
    • view limited details about their organisation
    • access information about homes and branches they have been granted access to
    • manage contacts for homes and  branches they have been granted access to.

My Aged Care service provider and assessor helpline
