How to manage user details in the Manage Your Organisation tile

A short video showing how to manage user details in the Manage Your Organisation tile in the Government Provider Management System (GPMS) as an Organisation Administrator.

First, the organisation administrator logs into the Self Service Portal account as an Org Admin user using their credentials.

Once logged in, the Org Admin will land on the Self Service Portal landing page.

From here, the user can then select the Manage Users tab from the main dashboard.

The user is then directed to the Managed Users landing page where the Org admin can manage the access of users to the self service portal.

In the Managed Users section, the Org admin selects the Approved Provider level tab.

This will allow us to manage the access of users specific to this approved provider.

This will display a list of users within that particular provider.
To add a new user, the Org Admin will click on the Add New User button.

On selecting the Add New User button, the org admin will be navigated to the Add New Provider user page.

The org admin will be required to enter an email address to confirm if an active portal account already exists for that user under the approved provider.

If no portal account is found that matches the email entered, the org admin will be displayed a list of all current and historical contacts under the Aged Care Organisation.

The user can then search and select an existing contact with your organisation who doesn't already have a portal account.

Then click Next. On selecting an existing contact from the list view and selecting the Next button, the org admin will be navigated to the user details.

You will now see the new roles introduced.

This could be provider staff the organisation, provider staff the service and provider governing person.

The Provider Governing Person check box will be enabled if the selected contact meets the governing person criteria.

The org admin can then select the provider Staff Organisation user role for the new user, completes the declaration and click Add User.

You will receive a success message confirming that the new user has been added.

You can now see the new user in the list of users within this provider.
