Welcome to the Government Provider Management System training video. In this video we'll demonstrate managing offline beds in the GPMS Approved Provider Portal. First step will be to log on to the GPMS Approved Provider Portal. When you are logged in, click the ‘manage your organisation’ tile.
Next, click on the ‘Residential Care Home’ tile. Here you will find a list of your residential care services. Using the search function or the scroll, find the residential service you are wanting to amend offline beds. Click the drop down arrow on the right hand side and click the ‘View Home Details’. You will land on the details page of Bupa Armidale.
From the tab options, click ‘Aged care programs’. On this screen you'll see a section called beds. This section shows how many operational and offline beds you have at the service. To make changes to these, scroll down and click ‘Manage offline beds’. A new screen will appear named ‘Temporary offline beds’. Scroll down and you will see a list of offline bed reasons and any existing offline beds and the dates they have been offline from.
If you are making beds offline, find the appropriate reason and click ‘edit’. Enter in the number of beds you are taking offline for that particular reason. So in this example there have been five beds offline already and we are changing it to ten. And click ‘submit’. A pop up box will appear to confirm you are taking ten beds offline. Click Ok. This will complete the updating of offline beds. A confirmation email will be sent to your responsible person or point of contact confirming this update.
You will also be able to make beds that were offline back to operational in the portal. Go back to the temporary offline beds screen. Find the reason that you are wanting to bring beds back online. In this example will be changing the ‘lack of capacity to deliver care due to workforce or operational issues’. Click ‘edit’. In the value field enter in the updated bed number.
In this example, there are 11 offline beds currently, and we are wanting to take that back to none and make them all operational. Enter in zero and click submit. This will complete making all the 11 offline beds back to operational. Click Ok. Confirmation email will also be sent to your responsible person or point of contact confirming this update.
A couple of important points to note, you can take beds offline for multiple reasons, and when beds are offline, you'll be unable to claim subsidies for those beds. Making all beds offline will change the status of the residential service to inactive.
