confirm receipt of the written notification; re-send, fax or email, if necessary

discuss the purpose and requirements of the risk assessment; help organisation representatives feel at ease with what is required and the process

inform the organisation that they can invite the local NACCHO affiliate, or any other advocate to assist with the preparation for, and/or be present at the risk assessment

discuss the type of supporting evidence the assessor will be required to sight on the day

refer the organisation to the Examples of Evidence Fact Sheet, which has a list (not exhaustive) of source documents that the assessor needs to sight; re-send, fax or email, if necessary

suggest the organisation determines what evidence can be provided and makes it readily available and accessible

inform the organisation it does not need to photocopy the documentation; the assessor will just need to sight it, not take it away

discuss which staff will be best placed to provide evidence, and ensure they will be available on the day

suggest the organisation advise the staff of the risk assessment and help them feel at ease with the process

suggest the organisation undertake a self-assessment against the Risk Assessment Profile Tool (RAPT) in order to prepare for the on-site visit

suggest the organisation allocate a staff member to assist the assessor during the visit and act as a liaison, ensuring staff are available at planned times

suggest the organisation allocate space where the assessor can meet with staff and work

confirm a date and time for the on-site risk assessment; the time required will vary according to the complexity of the assessment, on average risk assessments take a minimum of three and a half hours to complete but is likely to be considerably longer if the organisation has secondary sites or auspice arrangements in place

Help with accessing large documents

When accessing large documents (over 500 KB in size), it is recommended that the following procedure be used:

  1. Click the link with the RIGHT mouse button
  2. Choose "Save Target As.../Save Link As..." depending on your browser
  3. Select an appropriate folder on a local drive to place the downloaded file

Attempting to open large documents within the browser window (by left-clicking) may inhibit your ability to continue browsing while the document is opening and/or lead to system problems.

Help with accessing PDF documents

To view PDF (Portable Document Format) documents, you will need to have a PDF reader installed on your computer. A number of PDF readers are available through the Australian Government Information Management Office (AGIMO) Web Guide website.
